Mail Room

The mailroom provides comprehensive mail and postal services to Schools and Units in the University of St Andrews.

There are also postal deliveries received at the Bute building and the Physics building, for local distribution. Outgoing mail from the North Haugh can be franked by janitorial staff based in Physics.

Mailing Services

Daily Mail Deliveries - Royal Mail is delivering and uplifting mail to/from the University Mail Room once a day only. Due to staffing levels within our Mailing Room being reduced to an essential level only, please note the following:

Category A and Category B (Limited Access Areas) Buildings – if you require to uplift your mail from the Mailroom, please telephone the Mailroom on Ext 3981 between 09.00 hrs and 09.30 hrs each weekday to arrange this.
Category C Buildings - Mail for these buildings will be stored within the Mailroom. Collective mail uplifts (for your respective school/unit) can you uplifted from the Mailroom. We would ask schools/units to contact the Mailroom between 09.00 hrs and 09.30 hrs each weekday to arrange this.

This will ensure that the process is efficient as possible and will allow us to align with guidance relating to social distancing. In addition, we would ask school/units to put an internal dissemination process in place where possible, to ensure all members of staff are not reporting to Mail Room to uplift individual mail. To assist with this, Schools/units are asked to note that a scanner is available for use within the Observatory Workshop Building.

Please note that buildings which previously received a direct mail delivery from Royal Mail which are now closed (and have no delivery mechanism ie letter box) the mail for these buildings will be delivered to our Mailroom and the advice above will apply.

Signed for Mail/Courier Deliveries – Mail room will take receipt of all signed for mail and will email the addressee advising them that a signed for mail item has arrived for them. Addressees should then arrange with the Mailroom a suitable time for collection from the Mail Room direct. If an addressee is unable to pick up a signed for delivery by person, please notify the Mail Room staff via email what alternative mechanism you have put in place to collect the item of mail.

Monday to Friday: 8am to 5pm
Saturday and Sunday: Closed

The messenger driver collects / delivers mail from most schools and units twice a day. Delivery times are available on request.

To ensure the constant availability of mailbags for your School or Unit we collect empty mailbags should you have no mail to be collected on that day.

For same day posting the deadline for last post is 4pm at the mailroom.

Sending mail

Please ensure that your mail is correctly addressed.

Full postal addresses for University departments are available on through the contacts page on our website.

To help us deliver the mail promptly please ensure that you address your mail as fully as possible. Many Schools and Units are spread over split sites and unless the names of the departments and buildings concerned are included in the address the mail may inadvertently be delivered to the wrong site.

Bulk mailing

If a School or Unit is preparing a bulk mailing, the mailroom should be given two days advance notice of posting. This will enable the mail to be processed in the most efficient way. It is also helpful if all addresses are kept facing the same way up.

Charges

The mailroom makes no additional charge for its services, the cost of postage is recharged to schools and units using the appropriate cost centre coding.

Amazon lockers have been provided for the collection of items at the University Library and at David Russell Apartments. Staff are urged to use this service for the collection of items.
