When to contact HR instead of the Workforce Planning Group (WPG)
Updated on: 13 June 2025
Which staffing changes should be sent directly to Human Resources.
Not all staffing changes require approval from the Workforce Planning Group (WPG).
This guide explains which types of requests should be sent directly to the HR team instead.
Wholly externally funded posts
If a post is funded entirely by external sources (for example, research grants, income, endowments or bequests), you do not need WPG approval.
Send your request to HR as follows:
Advertise a new post
To advertise a new post, email vacancies@st-andrews.ac.uk and include:
- the job advert and further particulars
- the cost centre
- details of the selection panel
- confirmation on how long you wish to advertise for (including the closing date)
Contractual changes
For contractual changes, email hr.support@st-andrews.ac.uk with:
- start and end dates
- cost centre
- updated job description (if applicable)
Staff named on grants
To issue a contract for staff named on a research grant, contact hr.support@st-andrews.ac.uk. Include:
- a job description
- the CV of the named individual
- grant cost centre
- start and end dates
Flexible Worker Assignment contracts
If you are using a Flexible Worker Assignment contract paid from casual salary budgets:
- Follow the instructions on the Flexible Worker Assignment (FWA) pages.
- Do not submit a WPG application
Not sure who to contact?
If you are unsure whether a request should go to HR or the Workforce Planning Group, email the Workforce Planning Team at workforce@st-andrews.ac.uk for advice.
