Managing Workforce Planning delegate permissions

How Heads of Schools and professional services units can assign and manage access to submit Workforce Planning applications.
Only a Head of School or Service Director can delegate authority to submit Workforce Planning applications on their behalf.
Delegated staff members must be authorised before they can access the online application form.
This guide explains how to assign, check and manage delegate permissions.
Who may assign delegates
Heads of Schools and professional services units can delegate access to appropriate members of staff, such as school managers or senior administrators.
Delegates can:
- access the Workforce Planning dashboard
- prepare and submit workforce planning applications
If you are not a Head of School or unit, and need to submit applications, speak to your HoS/U to request delegate access.
How to assign or remove delegates
To manage delegates:
- Go to the Workforce Planning application dashboard
- Sign in using your University credentials
- Click ‘Manage your delegates’ from the left-hand dashboard menu
- Follow the on-screen instructions to:

- add new delegates
- remove staff who no longer require access

Good practice for managing delegates
To keep your delegate list accurate:
- Review your list at least once a year
- Remove staff who have left the University or changed roles
- Add new staff who now require access
Delegates who leave the University or move to a different role will be automatically removed from your list and will no longer be able to view or submit applications.
How delegates are notified
Once you add a delegate, they will receive an automated email confirming their access.
If someone tries to access the application form without being authorised, they will see this message:
You are not currently authorised to access this page. Please email your Head of School or unit to request delegation rights.
If they continue to experience access issues after being added, instruct them to contact IT Service Desk.
