Prepare for a taught module rollover in MMS

Understand the rollover process for taught modules in MMS and what configuration details to check after the rollover.
There is an annual rollover of taught modules in MMS.
Module confirmation
Schools confirm which modules will be running in the next academic year by accessing a C-View task through MySaint. Once the module proofing deadline has passed, all confirmed modules are created in SITS. These modules are then available for activation in MMS.
Before modules become available for activation, the Technology Enhanced Learning (TEL) team will email all the following School contacts:
Rollover configuration
The TEL team will ask Schools to confirm what MMS configuration options they require, and will also provide the configuration details used in the previous rollover.
The rollover configuration request must apply to all modules in a School, excluding Digital PGT modules, as these are managed separately.
You cannot request a rollover on a module-by-module basis.
MMS configuration
Option 1: Copy configuration from the last time the selected module(s) ran
What happens if option 1 is unchecked?
If you uncheck this option, then the only other thing that might be done is the Moodle rollover. Other options will be ignored.
If this option is selected:
- Any modules that have been active in any previous academic years in MMS will inherit the configuration options from when the module last ran.
- All administration and assessment tools will be copied. Coursework, Final Grade and Tutorial Signup tools will be copied with their configuration.
For the coursework tool, the following configuration is copied by default:
- Assignment names
- Assignment weights
- Assignment types
- Assignment dates. Option 5, detailed below, allows dates to be cleared.
- Coursework result scripts. School or module staff should delete any result scripts that have been copied but are no longer required.
If you want the MMS team to clear all the configuration from all coursework tools on all modules being rolled over, you should request option 1 with an additional note stating that no configuration is required.
For any modules that have not run before, or if option 1 is not selected, no administration or assessment tools will be copied and all activated modules will be given the default values set for the School in MMS.
You can access the modules through the View School button.
Configuration defaults:
- Student Identification
- Mark Type
- Lateness Mode
Coursework defaults:
- Assignment Style
- Assignment Topics
- Feedback Windows
- Students identified by
Option 2: Include exam structure in the rollover; please note that for data integrity reasons, exam structures can only be changed by deleting the exam tool and creating a new tool
If you select option 2, any Exam Marking tools will be copied from the previous time the module ran and will include all configuration.
Option 3: Copy tutorial groups to new module
While this option references tutorial groups, it applies to all group types. If you select this option, groups will be copied with all the following configuration:
- Group types
- All groups
- Group names
- Group locations
- Group times
Schools may specifically request the following options when option 3 is selected:
- Only group types are copied
- Group types, groups and group names are copied
If you don't select option 3, only the standard tutorial group type will be created with no groups configured.
Groups and group types from Timetabling
If the School wishes to import all groups and group types from Timetabling, it is better not to rollover groups and group types.
Option 4: Copy module-level staff to new module
If you select this option, all module-level staff will be copied to the new module with all previous module role assignments in place.
If you don't select this option, no staff will be enrolled onto copied modules in MMS and must be populated manually by Schools.
Option 5: Clear assignment due dates
If you select option 5 and option 1, any assignment dates will be cleared from the coursework tool.
If you don't select option 5 in conjunction with option 1, dates will be copied. Dates are adjusted to approximately match the chosen days of the week, for example, if an assignment was due on a Wednesday, the copied version will be due on the nearest Wednesday in the new calendar year.
MMS 'Meta' and 'Custom' modules
MMS Meta modules are set up at the request of the School by the MMS team. These are available for activation each year and are generally used in relation to research students. The TEL team will ask for confirmation of modules to activate, having provided Schools with details on meta modules that were activated in the previous year.
MMS Custom modules are used to activate any MMS modules that the School requires that are not classed as taught modules or meta modules. Examples include:
- Staff-only MMS modules
- Sandbox MMS modules
- Statistics MMS modules
Checking module configuration in MMS
It is the responsibility of School staff to check that all configuration details and staff lists in a rolled-over module are correct. The following dashboards are available in MMS to assist with checking and amending as required:
Assignment dashboard
On the View School page in MMS, click on Assignments under the Setup section.
- You can change assignment options in bulk by using the assignment dashboard. It displays all assignments for a given academic year, the name, start date, deadline, submission window, style and visibility.
- Use the check box options to select the assignments you wish to change.
- The first section allows you to change the Style of the assignment and the Allowed file endings. Ensure you click Update Assignments to make your desired changes.
- The second section allows you to change the Student identification and Lateness Policy. Ensure you click Update Settings to make your desired changes.
Assessment setup dashboard
On the View School page in MMS, click on Module Assessment Setup under the Setup section.
This dashboard shows the assessment setup, including the final grade model used for all modules running in the current academic year.
Staff / Module Assignment dashboard
On the View School page in MMS, click on Staff / Module Assignment under the People section.
You can use this dashboard to view staff module enrolments.
- Select an MMS role from the dropdown and click Change View. Staff assigned to that role on a module will have the checkbox ticked.
- Use the checkboxes to change enrolments and click Assign Staff at the bottom of the page to confirm changes.
