How do I cost for RDM in the planning stages?

RCUK have stated that all research data management (RDM) and sharing activities need to be costed into your research, in terms of time and resources needed; early planning can significantly reduce costs. In most cases, direct costs for RDM throughout and beyond your project are eligible costs in your grant application and should be included in the Data Management Plan that you prepare for your application.  This involves:

  • identifying all data management activities and steps required to make data open for sharing, e.g. based on a data management checklist;
  • costing each activity in terms of people's time or the physical resources needed such as hardware or software.

Costing template

The UK Data Service has developed a simple activity-based costing template that can be used as a checklist for costing RDM for your project:

Step 1

  • Check data management activities in table and tick what applies to your research.

Step 2

  • For each selected activity, estimate or calculate additional time and/or resources needed and cost this.

Step 3

  • Add data management costs to your research application.
  • Coordinate resourcing and costing with the University Research Support (Finance), IT Services and Research Data teams.
