Mail in Outlook Web App (OWA)

Outlook Web App (OWA) in Office 365 allows access to email, calendar and contacts.

If you want to specify whether to use the standard or light version of Outlook Web App, see Options>Outlook Web App version. The light version of Outlook Web App is designed for use with older web browsers that are not supported by the standard version of Outlook Web App, over slow connections, and to meet accessibility needs by providing a simplified interface that’s easier to use with screen readers.

When you open Outlook Web App, your Inbox is the first thing you see. Your Inbox is where messages sent to you arrive, and where you’ll probably spend the most time reading and responding to messages.

New Features in Mail

  1. Outlook Web App (OWA) on Office 365 is optimised for mobile devices (smartphones and tablets).
  2. Inline compose. In addition to reading your mail in the reading pane, you can now compose replies and forwards in the reading pane. You still have the option to open your response in a new window.
  3. Drag and drop to add an attachment. In some browsers, you’ll be able to add an attachment to a message by dragging it from the desktop to the message form.
  4. Find drafts quickly. You don’t have to go to your drafts folder or open a conversation to find your drafts. Conversations that you have started a new message in will be clearly marked in the list view.
  5. Refine search results with a click. You can quickly refine your search results by selecting an option to change the folders included in the search and the time period searched.

  1. Message. Create a new message by selecting  New mail.
  2. Folders list. The list includes the folders in your mailbox. It may include other folders, such as Favourites and Archive folders. Select Expand  to show the Folders list, or select Collapse to hide it. In the Folders list, select More  to expand a list, or select Folders to collapse a list.
  3. Search box. In the Search mail and people box, type what you want to search for. For example, type the name of a person you want to find messages from, or text that you want to search for to find a particular message.
  4. Message list. Messages in the current folder are listed.
  5. Reading pane. The conversation or message that you selected appears in the reading pane. You can respond to any message in the conversation by using  Reply,  Reply all, or  Forward at the top of the message.
  6. To add an attachment, select  Insert > Attachment at the top of the form and browse to the file you want to attach.
  7. To change the location of the reading pane, select SettingsDisplay settings Reading pane and select the default settings; right, bottom, hide.

How to open a shared mailbox in OWA....

  1. In the Mail app, click on the profile image, top right and select Open another mailbox.
  2. Type in the name of the mailbox and press Search contacts and directory. Press Open, the mailbox will open in a new browser tab.

How to open a shared calendar in OWA...

  1. In the Calendar app, right-click My Calendars and select Open calendar
  2. In From Directory, search for the shared calendar you want to open. Select the shared mailbox you want to open, and then click Open.
  3. The shared calendar displays in your Calendar folder list.

Share your calendar

How to share your calendar in OWA...

  1. In the Calendar app, right-click your Calendar and select Share calendar
  2. Type the name or email address of the person you want to share your calendar with in the Share with box. This box works like the To box in an email message. You can add more than one person to share your calendar with.
  3. After you add who you want to share your calendar with, choose how much information you want them to see. Full details show the time, subject, location, and other details of all items in your calendar. Limited details show the time, subject, and location, but no other information. Availability only shows the time of items on your calendar and no other details. You can also give someone permission to edit your calendar by choosing Editor or Delegate. An editor can edit your calendar. A delegate can edit your calendar, and can send and respond to meeting requests on your behalf.
  4. You can edit the Subject if you want.
  5. By default, your primary calendar is shared. If you created other calendars, you can select one of them to share instead.
  6. After you finish adding people to share with, setting their access levels, and choosing which calendar to share with them, choose Send.
