3.5 S-code and special circumstances

Policy on notification of circumstances affecting academic performance and reporting of absence from examinations

Notification of circumstances affecting academic performance

Students are reminded that it is their responsibility to bring to the attention of their examiners any evidence of exceptional circumstances (personal, medical or otherwise) that may affect or have affected their academic performance.

It is your responsibility to ensure that all such evidence is communicated to the appropriate individual in the School(s) (eg Head of School or Adviser of Studies or Director of Teaching or any other individual as identified by the School). Notification should be submitted prior to the examination diet or before the final determination of grades in the relevant modules or subjects. Any circumstances reported in this way will be considered by the relevant Examination Board(s). In the case of Junior/Senior Honours and taught Postgraduate students an S-Code may be applied to the affected modules if this is requested by you.

Please note that failure to notify circumstances affecting academic performance in advance of the final determination of grades may affect your ability subsequently to submit an academic appeal. It should also be noted that the same circumstances may not be used as grounds for academic appeal as due account of them will already have been taken in determining the final result.

Reporting of absences from examinations

If you are unable to sit an examination during one of the main diets (January, May or Reassessment in August/September) due to illness or other unavoidable reason you should notify the Examinations Office as soon as possible by telephoning (01334) 462124 or 462528. This should then be followed up by the completion of the Self-Certificate of Absence form (through e- Vision).

As soon as you are well enough thereafter you should contact the Examinations Officer in the appropriate School to make arrangements for an alternative or deferred assessment to be completed at the earliest opportunity.
