SaintMail frequently asked questions

How do I configure my email program to work with SaintMail?
It is important to note that there is a separate Google-side Password you need to use. This is different from the St Andrews password used to access SaintMail on the web. Before you setup SaintMail in an email client you must know your Google-side Password. If you have not already set this up then visit the Google-side Password change/reset page.

To configure a desktop email client for use with SaintMail, follow these three easy steps:

  1. As stated above you need to set up your Google-Side Password (this differs from the password used to access SaintMail on the web) first.

  2. Enable your SaintMail account for either IMAP and POP. (IMAP is strongly recommended)

    • Sign in to SaintMail.
    • Click Settings at the top of any page.
    • Click Forwarding and POP/IMAP.
    • Select Enable IMAP.
    • Click Save Settings.
  3. Properly configure your email client (see IMAP setup page for detailed instructions).

Note that only access via the St Andrews web gateway is supported by ITS.

Can I recover any emails deleted in SaintMail?
Deleted emails from SaintMail are placed in the deleted folder and automatically deleted from this folder after 30 days. Users should therefore expect not to be able to recover deleted emails 30 days after the email has been deleted. Users should be aware that ITS will not back up any emails or files stored in the SaintMail environment.

How do I find other St Andrews email addresses?
Within SaintMail the St Andrews Directory has been added to your contacts feature. As you send messages from your SaintMail, addresses are automatically added to your contacts.
You can also go to the St Andrews Directory link at the top of most the University Web pages. 


What are the limitations on email sizes within SaintMail?

You can send and receive mail messages up to 20MB in size, including attachments.

How does archive email work?
If you have dealt with an email and want to move it from your inbox but are not quite sure whether you will need it again (and so you really don't want to delete it) then you can select it and archive it. Archiving it moves it from your inbox to the 'All mail' folder. When you search your email, then SaintMail will search 'All mail', unless you choose otherwise. This includes the mail in your inbox.

What are the message links that appear above my inbox?
These are Google web clips. You can remove them or customise them to your needs.

Can I import contacts I already have into my SaintMail account?
Yes. See contact import help for details.

How do I set-up vacation messages/auto-forwarding in SaintMail?
You can create a vacation response in SaintMail that will automatically reply to anyone who emails you. Forwarding capabilities are also available within your account settings.

What happens to my existing forwarding options when I activate a SaintMail account?
Any existing forwarding options will cease once your SaintMail account is activated. All mail sent to your St Andrews email address will be automatically directed to your new SaintMail account. If you would like to forward mail sent to your SaintMail account to an outside account (e.g. Hotmail, Yahoo, Gmail), change your account settings . If any are lost by unsuccessful forwarding then this is your responsibility.

How are SaintMail accounts accessible for students with disabilities?
The SaintMail service, powered by GoogleMail is natively accessible for most students with disabilities. You may also access Google Apps for Education tools using the basic HTML view or a third party, feature-rich application such as Outlook, Thunderbird, Eudora or Entourage.

What about Alumni?
Currently a forwarding service is provided for Alumni. At this time, the Alumni Office and ITS are discussing possible SaintMail accounts for Alumni.

Can full time Staff members use this service?
No. Currently a solution for Staff is progressing as a separate project. We will be updating you as this project progresses.

How do I report junk email or account abuse?
Use the Report Spam button to let Google know if you received junk email or a spoofed message.
Use the Report Phishing link to let Google know if you have received a phishing message. You will see a red warning message at the top of any emails that are suspected of referencing a phishing site.

If you think that your SaintMail account has been compromised, contact helpdesk@st-andrews.ac.uk. Please include the header of the suspicious message and the entire message text.

Which mobile devices support access to SaintMail services?
You can access your SaintMail using the following handheld mobile devices:
  • Palm devices with Palm OS 5.4 and above
  • Windows Mobile devices with Windows Mobile 5.0 and above
  • Colour BlackBerry devices
  • Symbian Series 60 devices 3rd edition and above
  • Apple iPhones

Can I synchronise my SaintMail calendar with my BlackBerry?
You can already access your calendar from your phone's Internet browser, but if you use a BlackBerry, you have an additional synchronisation option. Download and install the Google Sync for Mobile application from your BlackBerry browser so that changes to your calendar appointments will be automatically reflected on your BlackBerry. This application is free from Google, but data charges may apply.

I sent out a mass email, but not everybody on the list received it. Why?
As a method to deter spam, Google has employed a sending limit from all SaintMail accounts of 500 messages within a 24 hour period. Whether you have addressed the same email to 500 recipients, or sent 500 separate messages within a day, the rule is there. If you breach that boundary, Google will stop your account from sending mail for 24 hours.

If you use a POP or IMAP client (e.g. Outlook, Thunderbird, Eudora, Entourage or Apple Mail) you may only send a message to 100 people at a time. Your account should be re-enabled within 24 hours.

As a work around, you can opt to create mailing lists through Majordomo mailing lists containing as many addresses as you need.

How do I preview my message in SaintMail?
You can preview a Snippet of information, to the right of the subject line. If you cannot see anything then click the 'Settings' option (top right of your screen). Go to the 'General' tab, and choose the 'Show Snippets' option. Save the change and you should then be able to see a few words alongside the subject line in your inbox.

How do I print an individual message (rather than the whole conversation)?
Just click the down arrow next to Reply, at the top-right of the message you want to print, and select Print.

How can I move to the next email message (conversation) without having to go back to my inbox?
Click on the 'Older', or 'Newer' links at the top right. If you are a keyboard sort of person: once you are in a message (conversation) use J (for older) and K (for newer) keys to move to older and newer conversations. Within the same conversation use the N (for Next) and P (for Previous) keys to move to the next and previous message. If you want more keyboard shortcuts then visit Google's support pages.
