Amend nightly file to WPM

It has been highlighted to me that some PG students can't access the WPM card payment system to pay their £1,500 prepayment. This will be because they are not on the nightly file to WPM. What we need is for all students who have either an unconditional offer or a conditional offer to be included on the list.

Awards Register (online authentication service)

To provide an online authentication service using NONCE technology which will allow students to send a URL to 3rd parties in order to have Senate award details validated by a St Andrews hosted secure server. Need was identified in various fora and was requested by the Graduation degree certificate Working Group called by PO (see Fiona Thompson and Patrick Degg).
This is now the HEAR project, and falls under SER.
Blackbaud NetCommunity (BBNC) - SSO Integration

We are in the process of setting up Blackbaud NetCommunity (the web arm of our unit database, Raiser's Edge). BBNC has its own authentication system available. We that we could use this out-of-the-box, however, with an eye on future scope potential tie-in with iSaint, overall University systems, etc. we are requesting if the authentication can be carried out via SSO.
Phase 2 development complete in testing.

Users have identified a number of areas for development in the current CHARM system. In broad terms, they are looking:
- For a more flexible and user friendly means of maximizing engagement with a chemical hazard and risk management system system and hence the overriding legislation, COSHH
- To facilitate compliance with legislation
- To create a safer working environment
- To increase user accountability
- For a system that has the potential to include management of other risks (see Expected Benefits)
In addition, such a development is timely and will coincide with the phased introduction of REACH, a European Union regulation concerning the Registration, Evaluation, Authorisation & restriction of CHemicals.

There is ample evidence of a real need for a common approach to collaboration within the University of St Andrews. The organisation has no collective tool to facilitate collaboration and individual units and schools have, in some cases developed their own solutions. Where custom solutions do not exist, email and shared drives become the default solution with all the complications they bring.
SharePoint has been chosen as the product solution for this project.
3 Pilot groups have been identified and the pilots will run until middle of May when we will run a series of workshops to capture and scope requirements.

Online Payment for KE Emu Photographic Collection System Web Interface

The Photographic Collection in the Department of Special Collections of the University Library requires the development and installation of an online payment system in support of its e-commerce sales of images and image rights through its upcoming Photographic Collection web interface. This web interface is presently being developed and the online payment facility will need to be developed in collaboration with KE Software in the upcoming 2-3 weeks.
Customers internal vendor ready to start intergration with wpm (waiting for approval from finance for setup of WPM payment pathway).

Good afternoon, The Procurement Advisory Database (PAD) requires some attention. Niels di Falco has developed this tool in the past and advised me any further work requests should come through helpdesk. The following issues require Niels' input:
- The field "vendor notes" (vendor tab/more details") can have text input but not hotlinks. I'd like to add links to this section so users can jump to relevant pages of the university website.
- When searching for vendors, PAD pulls straight from Aptos. It does not appear to be pulling vendors who are on "hold" status though. Hold status has three different levels: Purchase ordering, Invoice and Payment. If a vendor is on hold because of "purchase order" then we'd like it to still pull through into PAD. Each level of hold status has a flag, so this should be possible. (I actually thought it was performing this search already but apparently it is not).
- A user (Sarah Latto, sl16) informs me that she cannot access the system (error message - "your account is locked"). I advised her to change her network password on the IT/password page but it won't allow her to do it whilst maintaining the same password as her current password is only seven digits and the system requests it be a minimum of eight. Getting the user to change all her passwords to suit PAD is not an option we'd be keen to take...
- the EU threshold needs to be changed to £173,934.

FAO Niels Type "hotel" into the "Item" search. Select any of the listed vendors. Each vendor has a "click here" under the Further Details/Contract Link. This link opens up another browser with PAD displayed. I went into the admin side of the system with the intention of deleting the contract link for each recommended hotel but there are no hotels listed in the "Contracts" section. Not sure where the erroneous "click here" is coming from but I'd like it deleted for all recommended hotels on the system. Thanks.

Change of text on specified "click here" links. I want to change the text to something moremeaningful that will tell users what the link is taking them to. This will involve me providing a list of changes I want to make, which I'll pass to Niels De Falco once my request is confirmed. I've already spoken to Niels about this to give him a "heads up".
Paperless Decision Making

The overall aim is to get a harmonised system of paper-light (paperless) admissions which can be used across the whole university. At present there are 5 different processes in use/available for use:
- Standard 'paper' based system, where admissions send paper forms to schools for processing
- Physics and Astronomy's web based system
- Medicine's eVision solution
- Computer Science's own solution (type unknown)
- SITS' own product
The aim is to have a solution in place by 15th September 2011, in time for the next UCAS opening of admissions. Of note - UCAS will cease paper-based processes in 2013.
Development well underway. Core developments now 60% complete (estimated), with testing for StuTalk also underway. Presentation to trial schools on Tuesday 29th November, with further presentation to all schools on Friday 2nd December.

A container that will allow us to request and upload Passport information for students who require a Tier 4 visa. A CAS Container was created last year to assist us in issuing entrants with the information required to appy to the UKBA for a Visa. However, before they can do this we need to obtain their passport details. At the moment we email the student and ask them to provide us with their passport details, they email us with the relevant information. This ifnormation is manually entered into PPT with no image to support the data we receive. If the students passport is due to expire within the next 12 months we then email them back and tell them that they need to apply for a new passport. As you can imagine this is a very long winded, time consuming process at an extremely busy time for the team.

Programme Specs - checking available at HEAR generation

Mike Anderson has written Access front-end to allow Registry to generate HEARs for graduating students - either in batches [per ceremony] or individually.
Additional functionality is required to check that the programme spec each HEAR references exists at the relevant url published on the HEAR.
Two tasks
1. Hamish to extend his programme specs index facility to include all years and to be run automatically at regular intervals [overnight?]
2. Mike to add the programme spec check functionality to the Access front-end
Needs to be in place, tested and accepted by Registry ready for June 2011 graduation. Proposed deadline is important date ... not sure if this is ok as don't know how far in advance of graduation the HEARs are prepared .. so deadline may need to be adjusted to meet that.
Proof of Concept Dimensional Data Warehouse (DDS) - students admission data

QlikView Budget Monitoring

A replacement for the current Oracle Finance Reports which are reaching their shelf life. The QlikView reports will display budget, transaction and payroll information to selected audiences with the data limited by role and department.

To implement a third party Research Information system to replace Research Expertise. PURE allows researchers to record research activity and publications, including importing data from external databases such as Web of Science and ArXiv, and other publications management software such as Ref Manager and Endnote. PURE is also fully synchronised with data in the data warehouse fed from HR, Finance/RFO and Student Records, and it is integrated with the University's full text institutional open access Repository.
This is a joint project with the University of Aberdeen and the project is the first UK implementation of third party CERIF-CRIS in the UK. More info can on CERIF can be found at www.eurocris.org.

Transcript Database for the ASC

To provide a 'pared down' version of the current Transcripts Database for use at the ASC. This is to allow ASC staff to print out student transcripts. Due to managed desktops the modification of the current Transcript Database' is required, rather than simply giving access on these machines to the current database. Users in Registry will still have access to the full version. Student Services have been involved in agreements regarding this, and Niels Di Falco has been involved in preliminary discussions relating to feasibility.

The Current Staff Research category homepage has always been rather poor and neglected since the launch of the website in 2007. This is an opportunity to work with the Research Policy Office to provide a resource that is appropriate for the University.
Development of FTP website for Special Collections client use

The Special Collections FTP site is the final stop in the provision of customer service to a wide range of national and international researchers and commercial clients who pick up their digital assets at this address following payment. The present FTP site is a completely basic directory format page, often cluttered with many folders due to high client turnover, does not benefit from the presence of University, Library or Special Collections branding and is lacking any design which could streamline its use or augment the user’s experience and encourage their return business. The goal of this project would be to design an aesthetically attractive web interface for the existing Special Collections FTP site. The objective would be to create four subsections which could be navigated to using illustrated buttons which would represent the four main collection divisions of the Department of Special Collections within the University Library. These are the “Photographic Collectionâ€, “Manuscript Collection†“Muniment Collectionâ€, and “Rare Books Collectionâ€. The webpage should adhere to the current University Library branding and be based on the University Library’s website with a top banner which boast all the standard navigation tools found on the top as well as the left side column of the Special Collections website located here: http://www.st-andrews.ac.uk/library/specialcollections/ Special Collections contact details and hours of operation should also be included. The use of NEW images or graphics sourced from Special Collections is essential. Some form of basic password protection for the different collection users would be ideal to limit the chance of theft or unauthorised use of these assets. A blanket copyright statement should be included on the new FTP home page which requires an obligatory tick box to confirm that the users agree to the terms of use laid out by the University Library.

To establish a University of St Andrews web based 'Policy Zone'; a repository of strategies, policies, procedures, rules and regulations, guidelines and other related documents: e.g. appendices, earlier and later versions and forms relating to a procedure.
A recent review of the University's website revealed that institutional policies exist in many different formats with numerous policies either being out-of-date or requiring major revision. Some policies are written as memoranda and handbooks dated back many years and others are unwritten, existing only by word-of-mouth. In addition, numerous electronic copies and different versions of equivalent policies exist concurrently on a range of web pages on the University's web site. Often these lack clear directions to the "golden copy" of the current policy document which causes significant levels of user irritation.

CHR needs a webpage for a project it is leading which is sponsored by international non-profit housing corporations. The page would be accessible for the duration of the project (one year) just to the partners, after which it would be more broadly available. The page would contain information on each of the partners and permit ongoing discussion of the main themes of the project. Each of 4 theme areas would have its own box with a logo and open onto the research group's draft work, bibliography,schedule of video conferences, other relevant events. The project is intended to test knowledge mobilisation at an international level by bringing together global experts in the field and guiding their investigations into areas of common and current importance.
Website amendments and creation of new section for International Students

With the introduction of the UKBA PBS system the need to get accurate information to applicants, students, agents and other parties easily is increasing. We would like to make somne changes to the way the content is structured to create a section specifically for International Students so that this information (and other stuff too) is all held in a single central point which can be found easily from the home page and elsewhere. If we get this wrong we get complaints from students, agents, parents etc. but more significantly it could affect our sponsor licence and potentially jeopardise our ability in recruit international students. Stephen Magee has identified this as a significant issue
