How to submit an event

What are the requirements for an event to appear on the calendar?

An event must meet the following criteria to be listed:

  • Must be an actual event - i.e. not an announcement such as the launch of a product or service.

    The following are regarded as events:

    • Conference
    • Seminar
    • Lecture
    • Concert
    • Chapel event
    • Debate
    • Presentation
    • Academic deadline
    • Charity event
  • Must have official University sponsorship - i.e. a department/school or student society.
  • Must be hosted in a University building or in a third-party venue with official University sponsorship, e.g. a society ball.

N.B. Private parties, including casual society gatherings, will not be listed.

Where should I submit announcements?

Announcements should be submitted to the weekly memos.

How does the events submission process work?

  1. Events are submitted to the events moderator through the online submission form.
  2. Submissions are checked for content and copy and are then approved for publication to the calendar.
  3. Any amendments are then notified to the moderator for further processing.

What does the events moderator do?

The events moderator audits submissions made to the central events calendar and makes amendments to the listings where necessary. These include, but are not limited to:

  • Spelling, grammar and corporate identity requirements.
  • Appropriateness - i.e. does this meet events calendar requirements?
  • Modification of listings - i.e. any changed information on listings.
  • Cancellation of events and removal from calendar.

What can I do to speed up the moderation process?

You can assist this by doing a number of things:

  • Check for grammatical and spelling errors.
  • Ensure that your information is correct - e.g. all dates, times and information is clear, correct and concise.
  • Ensure that your copy reads well - avoid lengthy incoherent sentences.
  • Ensure that your copy meets corporate identity requirements - e.g. the University's official title is "University of St Andrews".
  • Ensure that your event meets the calendar's requirements.

Why is my event not on the calendar?

It could be for one of a number of reasons:

  • The event is awaiting/undergoing moderation.
  • The event is currently going through the publication process, which takes at least an hour.
  • Your event doesn't meet the calendar's requirements.
